Which Productivity Formula Do You Need?

Use CaseFormulaExample
Personal daily output(Actual ÷ Target) × 100Completed 18/20 tasks = 90%
Labor productivity (revenue)Revenue ÷ Hours Worked$90,500 ÷ 3,840 hrs = $23.57/hr
Labor productivity (units)Units Produced ÷ Hours Worked19,600 bottles ÷ 280 hrs = 70/hr
Billable efficiency (therapy/legal)Billable Min ÷ Paid Min × 100360 ÷ 480 × 100 = 75%
Employee productivityOutput per Person ÷ Hours per Person$25,000 ÷ 160 hrs = $156.25/hr
OEE (manufacturing)Availability × Performance × Quality90% × 95% × 99% = 84.6%

Most searches for “productivity calculator” want rows 1–3. Therapists, lawyers, and consultants want row 4. Use the tabs above to calculate any of these.

How to Calculate Productivity — Three Formulas Explained

Formula 1 — Personal Efficiency

Efficiency % = (Actual Output ÷ Target Output) × 100
Example: Completed 36 of 40 planned tasks = 90%

Formula 2 — Labor Productivity

Labor Productivity = Total Output ÷ Total Hours Worked
Example: $90,500 revenue ÷ 3,840 hours = $23.57 per hour

Formula 3 — Billable Efficiency

Productivity % = Billable Minutes ÷ Total Paid Minutes × 100
Example: 360 billable ÷ 480 paid × 100 = 75%

Personal Productivity vs. Labor Productivity — What's the Difference?

Personal efficiency measures whether you hit your own target. Labor productivity measures economic output per unit of input — it's used by managers and economists, not individuals tracking their day. Billable efficiency is a professional variant of personal efficiency used in industries that sell time.

TypeWho Uses ItWhat It MeasuresLimitation
Personal EfficiencyIndividualsAre you meeting your own goals?Subjective — depends on target quality
Labor ProductivityManagers, economistsEconomic output per hour/employeeDoesn't measure quality of output
Billable EfficiencyTherapists, lawyers, consultantsRevenue-generating time vs. total timeIgnores necessary non-billable work

Productivity Calculator — Frequently Asked Questions

What is the formula for productivity?

There are three main variants: Personal Efficiency = (Actual Output ÷ Target Output) × 100. Labor Productivity = Total Output ÷ Total Hours Worked. Billable Productivity = (Billable Minutes ÷ Total Paid Minutes) × 100. Choose the formula that matches your work type.

What is a good productivity percentage?

It depends on your role. SNF therapists target 85–92%, knowledge workers aim for 70–80%, software developers 60–75%, and lawyers/consultants 65–75%. See the benchmark table above for eight industry-specific targets.

How do I calculate labor productivity?

Divide your total output (revenue or units) by total hours worked. Example: $90,500 revenue ÷ 3,840 hours = $23.57 per hour. Use the Labor tab above to calculate yours instantly.

What is the difference between productivity and efficiency?

Productivity is the output-to-input ratio — how much you produce per unit of input. Efficiency measures actual output versus possible or target output — how close you are to your maximum capacity. A factory can be highly productive but inefficient if it wastes resources.

How do I calculate my personal productivity?

Divide tasks completed by tasks planned, then multiply by 100. Example: 18 tasks completed ÷ 20 planned = 90% personal productivity. Use the Personal tab above to calculate and get a color-coded health score.

What is billable productivity?

Billable productivity measures the percentage of paid time spent on revenue-generating work. Formula: (Billable Hours ÷ Total Paid Hours) × 100. It's the primary metric for therapists, lawyers, and consultants. For discipline-specific tools, see our therapy calculator.

Can productivity be over 100%?

Yes — if your actual output exceeds your target. For example, completing 22 out of 20 planned tasks = 110% efficiency. This is common in personal efficiency calculations and indicates you've exceeded expectations.

What is OEE in manufacturing?

OEE (Overall Equipment Effectiveness) = Availability × Performance × Quality. It's the gold standard for manufacturing productivity. A score above 85% is considered world class. Example: 90% × 95% × 99% = 84.6%.

How do I calculate productivity per employee?

Divide total output (revenue or units) by number of employees. Example: $500,000 revenue ÷ 10 employees = $50,000 per employee. Use the Labor tab with the Employees field to calculate this instantly.

What is a realistic productivity target for knowledge workers?

70–80% is realistic. Research consistently shows knowledge workers average 3–4.2 hours of true focused work per 8-hour day. The remaining time goes to meetings, context-switching, email, and administrative tasks that are necessary but not directly productive.
